Affiliate Agreement
Last updated October 15, 2026
This Affiliate Agreement (the “Agreement”) is between Matthew Carpenter LLC, doing business as GrandMailers, 1910 Apricot Road, Grandview, WA 98930 (“GrandMailers”), and the person or business accepted into the GrandMailers affiliate program (“you”). GrandMailers makes a monthly printed family newsletter that families subscribe to. You share GrandMailers with your audience, friends and family, and GrandMailers pays you commission on the subscriptions you bring in, on the terms below.
1. Joining the program
1.1 You apply at grandmailers.com/affiliates. GrandMailers reviews every application and may accept or decline any applicant for any lawful reason. This Agreement takes effect when GrandMailers approves you.
1.2 You must be 18 or older. A parent or legal guardian may apply on behalf of a younger creator; the account, the W-9 and all payments are then in the parent’s or guardian’s name, and they are bound by this Agreement.
1.3 One affiliate account per person or business. Your partner-portal login is for you alone.
1.4 If you are also a GrandMailers community sales representative, this Agreement covers the affiliate code and link you use for families and individuals. Your Sales Representative Agreement (in your partner portal) still governs the senior living communities you sign. Where the two overlap, the Sales Representative Agreement controls for communities and this Agreement controls for families.
2. Your link, code and discount
2.1 GrandMailers gives you a referral link (grandmailers.com/r/YOURCODE) and a code.
2.2 Credit. A family is credited to you when it signs up for a paid plan and either (a) opened your link in the 30 days before signing up, and no other affiliate’s link after yours (the last link opened wins), or (b) typed your code at checkout. GrandMailers’ records decide credit. A family can be credited to only one affiliate, and credit can’t be moved after sign-up.
2.3 Your discount. In your portal you choose your code’s discount for buyers: 0%, 5%, 10%, 15%, 20%, 25% or 30% off the plan for the family’s first 12 months. You can change it at any time. A change applies only to families who sign up after it; families who already joined keep the discount they got.
3. Commission
3.1 On each family credited to you, GrandMailers pays commission on the family’s plan payments (the monthly or yearly GrandMailers plan):
- First 12 months from the family’s first payment: 30% of the plan’s full price, less the discount your code gave the family on that payment. For example, a 10% code earns you 20%; no discount earns you 30%.
- After the first 12 months: 15% of each plan payment, for as long as the family keeps paying and this Agreement is in effect.
3.2 Not included: extra mailed copies, keepsake binders and other one-off purchases, shipping, sales tax, and any amount refunded or charged back. No commission is earned on payments never collected.
3.3 Your own purchases through your link or code earn no commission, nor do purchases by anyone at your address or using your payment details. GrandMailers may offer approved creators a free year separately; it earns no commission.
3.4 Commission is your only compensation under this Agreement. GrandMailers may change its prices and plans at any time; commission is calculated on what the family actually pays.
4. Payment
4.1 Monthly. Commission on payments collected in a calendar month becomes payable on the last day of the following month (October’s on November 30). GrandMailers pays within 10 days after that.
4.2 Minimum. You’re paid once your payable balance is $25 or more; a smaller balance carries over.
4.3 Refunds and chargebacks. Commission on a payment later refunded, disputed or charged back is deducted from your future commission, and added back if a dispute is won.
4.4 How. By Zelle, PayPal or paper check, as you choose in your partner portal. Checks go to the address on your W-9.
4.5 Statements. Your portal shows the families credited to you (never their names), what each has earned, what is clearing, what is payable, and every payout. Raise any disagreement within 90 days of the payout it appears in; after that the statement is final.
5. Taxes
5.1 You must complete and sign a Form W-9 in your partner portal before your first payout, and update it if your name, address or tax status changes. No commission is paid without a valid W-9 on file.
5.2 GrandMailers does not withhold income tax. You are responsible for all taxes on your commission.
5.3 GrandMailers will issue a Form 1099-NEC when required (for 2026 and later, when your payouts in a year total $2,000 or more).
5.4 If backup withholding applies to you (your W-9 says so, or the IRS tells GrandMailers it does), GrandMailers will withhold the required amount (currently 24%) and send it to the IRS.
6. How you may promote GrandMailers
6.1 Disclose. Whenever you share your link or code, say clearly that you earn a commission (for example “#ad”, “affiliate link” or “I earn from this link”), placed where people see it before they click. This is required by the FTC’s Endorsement Guides.
6.2 Be honest. Describe GrandMailers accurately. Don’t make claims about features, prices, delivery or results that GrandMailers doesn’t make itself, and only claim to have used it if you have.
6.3 Not allowed:
- Unsolicited bulk email, texts, DMs or comments (spam), or messages that break anti-spam or do-not-call laws.
- Bidding on “GrandMailers” or close variations in search or social ads, or using it in domains, usernames or ad accounts.
- Posting your code on coupon, deal or cash-back sites, or in places where people find it while already signing up.
- Pretending to be GrandMailers, or implying GrandMailers employs or endorses you beyond this program.
- Content that is hateful, harassing, sexual, violent, illegal, or aimed at children.
- Offering cash, rebates or anything else of value to get people to use your link, apart from your code’s discount.
6.4 Brand. You may use the GrandMailers name and the logo and images GrandMailers provides, only to promote GrandMailers while this Agreement is in effect, and without changing them.
7. Independence, privacy and confidentiality
7.1 You are an independent contractor, not an employee, partner or agent of GrandMailers. You set your own methods and schedule, pay your own costs, and can’t make promises or agreements for GrandMailers.
7.2 GrandMailers never shares the names or details of the families you refer. Don’t collect personal information about families or recipients on GrandMailers’ behalf.
7.3 Keep confidential anything non-public you learn through the program (unreleased features, pricing, partner-portal data), and use it only to promote GrandMailers.
8. Term, changes and general terms
8.1 Ending it. Either of us may end this Agreement at any time by email. GrandMailers may also switch off your link and code immediately if you break section 3.3 or 6.
8.2 After it ends, commission already earned on payments collected before the end date is paid on the normal schedule. Commission on payments collected after the end date stops, except that if GrandMailers ends the Agreement without cause, you keep earning on families you referred for the rest of their first 12 months. If you broke section 3.3 or 6, commission on families obtained that way is forfeited.
8.3 Changes. GrandMailers may change these terms or the commission plan with 30 days’ notice by email or in your portal. Changes apply only to payments collected after they take effect and never reduce commission already earned. If you don’t accept a change, you may end this Agreement.
8.4 Responsibility. Neither party is liable for lost profits or indirect damages. Except for unpaid commission owed, GrandMailers’ total liability is limited to the commission paid to you in the 12 months before a claim. You’ll cover GrandMailers’ losses caused by your breach of section 6 or unlawful conduct.
8.5 General. Washington State law governs; disputes go to the state or federal courts for Yakima County, Washington. This is the whole agreement on this subject. If any part is unenforceable, the rest still applies. You may not transfer your account. Notices go to your account email and to hello@grandmailers.com.
9. Acceptance
You accept this Agreement by ticking “I agree to the Affiliate Agreement” on the affiliate application. GrandMailers records the date and time you accepted, and accepts it by approving your application.
