Terms & Conditions
Last updated June 13, 2026
Welcome to GrandMailers. These Terms & Conditions (“Terms”) govern your use of the GrandMailers service, including our website, your account, and the printed newsletters we create and mail on your behalf. By creating an account or using the service, you agree to these Terms. Please read them carefully, and see our Privacy Policy for how we handle your information.
The service
GrandMailers turns the photos and stories your family shares into a printed newsletter that is mailed to a recipient you choose. You can invite family members to contribute, review issues before they go out, and view past issues on your private family page. We rely on third-party providers to print and deliver your newsletter and to process payments.
Your account
You must be an adult to create an account, and you're responsible for keeping your login secure and for the activity that happens under your account. You're also responsible for making sure the recipient's mailing address and the details you provide are accurate, so we can deliver your newsletter to the right place.
Your content and your responsibilities
The photos, stories, and other materials you and your contributors add are your content. It belongs to you and your family — not to GrandMailers. We don't claim ownership of it, and we only use it to provide the service, as described in our Privacy Policy.
Because it's your content, you're responsible for it. By adding content, you confirm that:
- You have the right to share it and to have it printed and mailed to your chosen recipient.
- It doesn't infringe anyone else's rights or violate any law.
- You grant us the limited permission needed to store, assemble, print, and mail it for you, and to make it available to your family on your private family page.
We don't review or monitor family content, and we're not responsible for what contributors choose to share. If content is unlawful or misused, we may remove it or suspend an account.
Recordings and storage
Contributors can share a story by typing it, recording a voice memo, or recording a short video. When a voice memo or video is shared, we transcribe it so the words can be printed in your newsletter, and we store the recording so it can be played from a private link — for example, the QR code we may print beside that update. Those links are unlisted: anyone you give them to (or who receives your printed newsletter) can open them, and they aren't listed publicly or indexed by search engines.
We keep recordings for as long as your account is active so they stay playable. To keep the service sustainable, reasonable storage is included with your subscription, and we reserve the right to limit, archive, or remove older recordings for a family whose stored media grows unusually large (currently around 50 GB). If we ever need to act on this, we'll give you notice and a chance to download anything you want to keep, and we expect to offer additional storage as a paid add-on. You can also remove your own recordings at any time, as described below.
Billing and subscriptions
GrandMailers is offered as a subscription. By subscribing, you authorize us to charge your payment method on a recurring basis for the plan you select, until you cancel. You can cancel at any time, and your cancellation will take effect at the end of your current billing period. Prices and plan details are shown at checkout.
Refund policy
Because each newsletter is custom-made for your family and then physically printed and mailed, our refund policy works as follows:
- Before your first newsletter is sent: you may request a full refund within the first 14 days of your purchase, and we'll refund you in full.
- Once your first newsletter has been sent: due to the custom, printed-and-mailed nature of the product, all sales are final and no refunds are available.
You can cancel your subscription at any time to stop future charges, as described above. To request a refund within the eligible window, contact us at hello@grandmailers.com.
Removing content and closing your account
You can remove your information or your past contributions at any time. When you do, those items are also removed from your private family page, so they no longer appear in past issues. Newsletters that have already been printed and mailed are physical copies that can't be recalled. See our Privacy Policy for more detail.
Text messages (SMS)
GrandMailers offers an optional text message program so contributors can receive a link to add their photos and stories. It's opt-in only and you start it yourself using your Family Code; you can choose to be reminded by email, text, or both. These messages are operational — not marketing — and you can reply STOP at any time to opt out or HELP for help. Message frequency varies and message and data rates may apply. Your full use of the SMS program is governed by our SMS Terms.
Acceptable use
Please use GrandMailers only for its intended purpose — sharing family news with the people you love. Don't use the service to share unlawful, harmful, or infringing content, to harass anyone, or to attempt to access content belonging to another family.
Disclaimers and limitation of liability
The service is provided on an “as is” basis. While we work hard to print and deliver every newsletter reliably, mail delivery depends on third parties and we can't guarantee exact delivery dates. To the fullest extent permitted by law, GrandMailers is not liable for indirect or consequential damages, and our total liability for any claim relating to the service is limited to the amount you paid us in the twelve months before the claim.
Changes to these Terms
We may update these Terms from time to time. When we make meaningful changes, we'll update the date at the top of this page. Your continued use of the service after an update means you accept the revised Terms.
