GrandMailers helps families turn their everyday photos and stories into a printed newsletter that's mailed to someone they love. That means we're trusted with personal, often precious information — family photos, names, notes, and mailing addresses. We take that seriously. This policy explains, in plain language, what we collect, how we use it, and the simple promise at the heart of GrandMailers: your family's content stays inside your family.

Information we collect

We only collect what we need to create and mail your newsletter and to keep your account running:

• Account information — the name and email address of the person who creates the account, used to sign in and to send service notifications.
• Family content — the photos, stories, captions, and notes that you and your contributors add to each issue.
• Contributor and recipient details — the names and contact details of the family members you invite to contribute, and the name and mailing address of the loved one who receives the printed newsletter.
• Payment information — handled by our payment processor. We never see or store your full card number.

Who can see your family's content

This is the most important part. The content you add to GrandMailers is private to your family. The only people who can view it are:

• The people you've added as contributors on your account.
• The recipient the newsletter is being created for.

In other words, the people who can see your family's page are your family. No other GrandMailers customer or member of the public can see your photos, stories, or your loved one's address. We do not sell your information, and we do not share it with advertisers or other third parties for their own marketing.

How we use your information

• To assemble, print, and mail your newsletter to the recipient you choose.
• To let your family see past issues on your private family page.
• To make future keepsakes possible — such as printed books and year-in-review collections built from the issues your family has already created.
• To send you service messages about your account, billing, and the issues being prepared.

Service providers

To deliver the service, we rely on a small number of trusted providers — for example, to host data securely, process payments, and physically print and mail your newsletter. These providers only receive the information they need to perform their specific task, and only to provide the service to you. They are not permitted to use your family's content for their own purposes.

Text messages (SMS) and your mobile information

GrandMailers offers an optional text message program so family contributors can get a link to add their photos and stories. Texts are opt-in only and contributor-initiated — you opt in yourself using your Family Code, and you can choose to be reminded by email, text, or both. The messages are operational (for example, a link to upload to the current issue), not marketing. You can reply STOP at any time to opt out, or HELP for help. See our SMS Terms for the full details.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. We do not sell your phone number or your SMS opt-in, and your consent to receive texts is never shared with anyone for their own marketing. We share your mobile number only with the messaging provider we use to deliver these texts (Telnyx), strictly as needed to send the messages you requested.

Why we keep your content

We retain the photos and stories your family adds so that the service keeps working for you over time. That means you can revisit past issues whenever you like, and it means we can offer keepsakes down the road — like print books and year-in-review collections — assembled from the moments your family has already shared. Your content stays available to your family until you choose to remove it.

Removing your information

You're always in control of your family's content. If at any point you want to remove your information or your past contributions, you can — and when you do, those items are removed from your private family page as well, so they no longer appear in past issues for anyone in your family.

Please note that newsletters which have already been printed and mailed exist as physical copies in your family's hands, and those of course can't be recalled. We may also retain limited records where we're required to for legal, accounting, or fraud-prevention reasons. To remove your information, contact us at hello@grandmailers.com.

Your content is yours

The photos and stories you share belong to you and your family — not to us. We only use them to provide the service described above. You and your contributors are responsible for the content you add, and you should only share content you have the right to share. For more on this, see our Terms & Conditions.

Keeping your information secure

We use reasonable technical and organizational measures to protect your information against unauthorized access, loss, or misuse. Access to your family's content is limited to your contributors and recipient, as described above. No method of storage or transmission is ever completely secure, but we work to safeguard the information you entrust to us.

Children's information

Families often include photos and stories about children. Those are added by the adults who manage and contribute to the account, and they remain private to the family, viewable only by the contributors and recipient. GrandMailers is intended to be used by adults on behalf of their families.

Changes to this policy

We may update this policy from time to time. When we make meaningful changes, we'll update the date at the top of this page and, where appropriate, let you know directly.
